It's down to your operators, as the potential employer or recruiter on behalf of the employer, to ensure all information provided by a candidate has been provided accurately and without errors before submitting a disclosure check.
The Disclosure Final Signoff Checklist has been designed to help you do this to ensure your disclosure checks are submitted accurately to avoid delays and possible withdrawal by the DBS.
Once an operator has completed the ID verification process for a candidate and filled in the post-disclosure ID page, they see the Review and Submit button. This button takes them to a comprehensive list of Errors and Checks based on the validation built into the product for disclosure checks.
What they see is dependent on whether there are any errors in the disclosure details or not.
Error - The system has highlighted that the data for this section is incorrect. In order to proceed with this check, the operator needs to correct all indicated errors shown on the checklist. They won't be able to proceed until all errors have been amended.
Check - The system is highlighting a potential area to review. A check won't prevent the application from being submitted, but failing to check the details may lead to delays or checks being withdrawn.
The table below shows each section that may show up as a check or error. The table provides links to other articles where you can find guidance for each section.
Candidate Name and Details | Review ID documents for middle names and make sure they are included in this section. You can use the article Disclosure Checks Other Names section to help.
Check the candidate's National Insurance number, ensure they have not provided a fake number like AB123456C.
Check that the candidate has provided their mother's maiden name correctly if the disclosure check is a Disclosure Scotland level 1 check. This should be the Mothers Maiden Surname when the mother was born. |

It's down to you, as the employer/recruitment agency, to know the workforce and barring regulations.
A link is provided in the article to the government website for assistance with this, but your operators or hiring managers should know the legal requirements for making barring list check requests for your candidates when submitting applications. |
π Note: The above and the articles linked in the table are guidelines that, if you follow them, should help to:
Reduce your disclosure errors.
Reduce the number of checks rejected by our provider.
Reduce the number of Urgent queries you get.
Reduce the number of DBS checks that get withdrawn by the DBS.
Over all speed up the DBS application process from submission to completion.
